  • Full Name – Used to confirm your reservation and verify identity upon check-in.

  • Email Address – Used to send booking confirmations, important updates, and check-in/check-out instructions.

  • Phone Number – Used only for urgent communication or on-the-ground coordination, such as arrival times or last-minute requests.

  • Billing Address – Required for payment verification and recordkeeping purposes.

We do not store any credit card or banking information. All financial transactions are processed through secure third-party platforms such as Stripe, PayPal, Zelle, or direct arrangements like cash or check.

2. How We Use Your Information

Your personal information is used strictly to:

  • Confirm and manage your reservation

  • Coordinate arrival, departure, and property-specific instructions

  • Respond to questions, requests, or issues during your stay

  • Process payments through authorized providers

  • Maintain internal booking records for operational continuity

We do not use your personal information for advertising, marketing, or resale. You will never receive promotional emails from us unless explicitly requested.

3. Who Has Access to Your Information

Only our internal executive team has access to guest information. No outside vendors, contractors, staff, or third-party service providers are granted access to any personally identifying information—including your name, contact details, or stay history.
 

In fact, no one outside of the executive team is ever made aware of your identity—not before, during, or after your stay. This includes cleaning staff, maintenance personnel, or property managers. All communication and arrangements are managed directly and privately by our executive team to ensure discretion and peace of mind.

4. Data Security

Palm Tree Properties takes multiple technical and organizational precautions to protect your data, including:

  • Secure cloud servers for digital data storage

  • Password-protected booking platforms accessible only by authorized team members

  • Two-factor authentication (2FA) to prevent unauthorized logins

  • Regular monitoring to prevent any unauthorized access, data breaches, or misuse

We are committed to preserving the confidentiality, integrity, and availability of your data at every stage of the booking process.

5. Data Retention and Deletion

We retain booking-related personal data for up to two (2) years after your stay. This allows us to assist with any follow-up questions, handle payment records, and verify past reservations if needed. However, if you prefer that we remove your data sooner, you may request deletion at any time. Simply contact us at legal@palmtreesb.com, and we’ll confirm removal promptly.

6. Your Rights as a Guest

As our guest, you have full control over your information. You may:

  • Request access to the personal data we hold about you

  • Ask us to correct inaccurate or outdated information

  • Request deletion of your data after your stay is complete
